    Vendor Onboarding and Payment Terms at JDN Property Management

    Welcome to our team of accredited vendors! At JDN Property Management, we prioritize timely and transparent payments to our valued vendors, ensuring a smooth process for all parties. Please review and agree to our payment terms and guidelines to become an approved vendor.
    1. Payment Timeline: We typically process payments within 30-40 days of receiving an invoice, with payments usually issued within 30 days unless unexpected delays occur.
    2. Monthly Pay Period: Our pay cycle runs from the 15th of each month to the 13th of the following month. Invoices received within these dates will be paid on the 14th of the following month. For example, if you submit an invoice between October 15th and November 13th, payment will be issued on November 14th, barring any external issues.
    3. Payment Delay for Late Invoices: Invoices submitted after the pay period ends on the 13th (e.g., submitted on the 14th of the month) will be processed in the next month’s cycle, meaning payment will be issued on the 14th of the following month. This is the longest possible delay, assuming no unforeseen issues.
    4. Invoice Submission Requirements: To avoid delays, please ensure you are using the correct email address associated with JDN's bookkeeping team. It’s also crucial that any invoices sent to our accounting department MUST include a PDF attachment. We cannot process invoices sent as links or requiring downloads. Including attachments helps streamline the process and ensures timely payments. Thank you! Please request the bookkeeping email from our front office.
    5. Electronic Payments Only: All payments are made via Electronic Funds Transfer (EFT) or direct bank-to-bank deposits. We are not responsible for any NSF charges incurred.
    6. Invoice Details: For prompt payment, invoices must be properly formatted, including:
      • The service address (building and unit serviced).
      • The vendor's name, address, and HST number.
      • A clear breakdown of services provided.
